ABSTRACT

This project report describes a web application system for Kwakuti Rice Company’s inventory. Inventory management is the process of a company’s inventory being ordered, stored, used, and sold.

In order to understand inventory activities,, for example, the manner in which products are recorded, restocked and purchased , interviews were conducted with the end goal of this study. Other inventory management systems, reports, documents, forms, and files related with the current system were examined in order to learn more about the project and company’s recordkeeping procedures.

This framework allows the business to store data of products , stock and transactions making it efficient as well as increase sales by ensuring product accessibility. These user can record customer’s information , it is possible to add, delete or edit customer’s profile

The application also makes maintaining records and calculating sales simple and error-free. This project also consists of the activity diagrams, the application architecture, use cases and entity relationship diagrams. The technologies used in the execution of the objectives of this research are Visual studio code as the IDE and MySQL with phpmyadmin for the database. After doing a thorough examination and system verification, it shows the application’s basic requirements have been met and it can be used modestly, productively, effectively, and efficiently.

CHAPTER ONE

INTRODUCTION

1.1      Overview

An inventory control system is a collection of software and hardware solutions that automate inventory management. Food, clothing, books, equipment, and other commodities purchased by customers, retailers, or wholesalers can all be tracked with an inventory control system. To track and regulate inventory, modern inventory management systems rely solely on technology. (IndiaMart,2021)

Inventory control systems use technology to transfer data to a central computer system in real time while inventory is monitored and transactions occur, ensuring a well-organized management system and producing detailed reports and records related to the business

Kwakuti Rice Production Company specializes in the production of rice and other nonperishable foods such as beans, millets, and other grains. The goal of the research is to develop an Inventory Management System for Kwakuti rice production that meets the product information storage requirements. As a result of the implementation of this prototype, The information held by the company will be significantly more secure and accessible.

Companies typically maintain their records manually, which might be inconvenient in today’s world. With this system, the company can be able to conduct its operations more efficiently by having accurate and accessible data. This chapter focuses on completely comprehending the problem and devising a solution. It also clarifies the system’s importance to the business

1.2      Background and Motivation

Kwakuti rice production is a company that specializes in production of rice and other grains, it is located at kwakuti town, Paikoro Local Government Area of Niger State, Nigeria. The company aims at providing good quality and processed food crops to the Nigeria populations . The company offers wholesale, retail and distribution services of their products to its customers across the country.

The company, understandably, has a problem keeping adequate records of goods sold, customer records , and because this is done manually, there are additional issues of insecurity, high operating costs and delay in giving good service to customers. To process data,control stock and inventory, Kwakuti Rice Production Company currently uses people, pens, spreadsheet and paper. The design and development of an automated inventory control system for Kwakuti Rice Production Company will, without doubt, provide significant relief from the problems that is associated with the manual system.

1.3      Statement of the Problem

Kwakuti Rice Production Company is a company that basically operates manually, which has a number of problems and inconvenient aspects. Sales and cash receipts are manually recorded in record book. Because the information is first documented on paper copies and then entered into a spreadsheet tool, a lot of time is wasted. With the existing method, searching for a certain record takes a long time, and a lot of paper and ink is wasted, making the system inefficient.Data duplication is a prevalent problem with flat files, resulting in a variety of issues such as update and delete errors, to name a few. Because the manual ledger system is easily manipulated, ledger books can be misplaced, and the books may be damaged physically, resulting in the loss of key company data, making the system insecure.

The manual system is inconvenient, time-consuming , and it can be reduce or eliminated by using the proposed solution.

1.4      Aim and Objectives

The aim of this project is to implement and develop an Automated Inventory Management System(IMS) that will effectively and efficiently manage the inventory of Kwakuti rice production company .

The following are the objective of this project;

  • To design an Automated Inventory Management System that keeps track of stock, customers and their contact information, and daily sales activities.
  • To collect and analyze user requirements in order to provide enough information to the researchers about what the system users want the system to do.

1.5      Significance of the Project

Creating a transition from an outdated paper-based system that adapts the use of spreadsheets to an automated and modernized system that will help maintain the right balance of stock in the store is critical. For a successful business, a system that ensures the firms have sufficient stocks to meet customers’ needs, as well as aid in monitoring, tracking, and updating various trajectories, is essential. Customers will be better serviced because information access will be considerably faster with the new system, which will help you manage your inventory. By implementing an automated inventory control system,The Kwakuti Rice Production Company would be able to boost efficiency in operations, reduce maintenance and operating costs, monitor the supply of items and their distribution as well as increase profit.

1.7      Scope/Project Organization

This explains how the project’s chapters are organized. The report is divided into five sections, as follows: Chapter 1: presents a basic overview of the project, including history and motivation, a definition of the problem, goals and objectives, project relevance, and project risk assessment. Chapter 2 contains the literature review, as well as a historical overview, linked work, and a summary. Chapter-3 covers the Design process and Requirement Analysis.Chapter-4: This section covers the project’s components’ implementation and testing. Chapter 5 contains the discussion, conclusion, and recommendation. Then the references and appendices at the end of the report.
